Position Overview

We're seeking an exceptional Patient Concierge who will serve as the welcoming face and first point of contact for our boutique med spa. This is more than a traditional receptionist role—it's a hospitality-driven position that requires a unique blend of warmth, professionalism, sales acumen, and discretion. You'll create memorable first impressions while managing the operational flow of our practice with precision and care.

The ideal candidate understands that in the aesthetics industry, every interaction matters. You'll anticipate patient needs, protect their privacy with the utmost discretion, and proactively identify opportunities to enhance their experience and outcomes.

Key Responsibilities

Patient Communication & Hospitality

  • Greet every patient professionally via email, phone, text, or in person with warmth and attentiveness

  • Respond within 30 minutes to all patient emails, texts, and voicemails during business hours

  • Create a welcoming, spa-like atmosphere that puts patients at ease

  • Anticipate patient needs and provide proactive, thoughtful service

  • Handle sensitive conversations with empathy, discretion, and professionalism

Scheduling & Sales Excellence

  • Optimize patient satisfaction through strategic scheduling that maximizes both convenience and practice efficiency

  • Achieve 90%+ follow-up appointment booking rate at checkout by educating patients on treatment plans and benefits of consistency

  • Proactively identify opportunities to introduce patients to complementary services

  • Build relationships that encourage patient loyalty and referrals

Operational Management

  • Efficiently notify providers of patient arrivals to ensure seamless appointment flow

  • Maintain accurate, up-to-date patient records with all non-medical information

  • Collect payment at checkout with 90%+ completion rate by clearly communicating fees and payment options

  • Obtain and carefully record referral source information for every new patient

  • Send consultation notes and follow-up communications to referring providers promptly

Practice Administration

  • Maintain regular, professional communication with vendors and service providers

  • Keep the lounge and reception area impeccably maintained and welcoming

  • Handle administrative tasks with accuracy and attention to detail

  • Take initiative to improve systems and processes that enhance patient experience

Financial & Operational Excellence

  • Complete all patient transactions accurately and efficiently

  • Manage payment collection with professionalism and tact

  • Maintain organized financial and administrative records

  • Protect patient privacy in all payment and record-keeping activities

Experience & Skills

  • Prior experience in hospitality, luxury retail, or upscale service environments strongly preferred

  • Medical office or spa reception experience a plus

  • Demonstrated success in customer service or sales roles

  • Comfort with handling payments and financial conversations

  • Proficiency with computers, scheduling software, and communication platforms

  • Understanding of HIPAA privacy requirements (training provided)

Success Metrics

You'll be evaluated on your ability to:

  • Respond to all patient communications within 30 minutes

  • Achieve 90%+ follow-up appointment booking rate at checkout

  • Achieve 90%+ payment collection rate at checkout

  • Maintain patient satisfaction through positive feedback and referrals

  • Keep accurate, organized patient records and practice systems

Position Details

  • Schedule: 40 hours Mon-Fri 8:45am-4:45pm

  • Location: On-site position at Morph Med Spa, Ridgefield, CT

  • Compensation: $25-32/hour (commensurate with experience)

Registered Nurse (RN) – Personalized Medicine Program Coordinator

We are seeking a compassionate, highly organized Registered Nurse (RN) to support the personalized medicine areas of our practice.

This role is ideal for someone interested in pursuing a path in personalized medicine. The RN will play an essential role in supporting patient care, coordinating treatments, managing medications, and maintaining a seamless, high-touch patient experience.

This is a patient-facing role, involving communication with patients via phone, email, text, and in person.

Primary Responsibilities

Responsibilities include, but are not limited to:

  • Delivering white-glove patient service and maintaining timely communication

  • Maintaining communication with partner businesses including labs, pharmacies, and pharmaceutical companies

  • Submitting lab requests and coordinating follow-up on results and next steps

  • Managing prescription fulfillment, including GLP-1 medications

  • Tracking prescription status and updating patients

  • Tracking and submitting prior authorizations to prevent gaps in treatment

  • Managing medication refill requests to ensure continuity of care

  • Providing injection assistance, including GLP-1 administration

  • Receiving on-site prescription deliveries and managing medication inventory

  • Managing and maintaining clinical inventory

  • Maintaining accurate and up-to-date patient records in Zenoti EMR

  • Supporting daily clinical workflow and care coordination

Secondary Responsibilities

Responsibilities may include:

  • Greeting patients professionally via email, phone, text, or in person

  • Supporting patient onboarding and education

  • Supporting program members with injection assistance

  • Supporting team training initiatives

  • Maintaining a polished, welcoming clinical environment

  • Assisting with front-of-house responsibilities as needed

Requirements

Required Qualifications:

  • Active Registered Nurse (RN) license in Connecticut

  • Minimum 3 years of nursing experience (clinical, outpatient, or wellness setting preferred)

  • Interest in personalized medicine, hormone therapy, or medical weight loss

  • Strong organizational and multitasking skills

  • Excellent written and verbal communication skills

  • Comfort communicating with patients via phone, email, text, and in person

  • Ability to manage multiple responsibilities with attention to detail

  • Professional demeanor and commitment to patient confidentiality

  • Ability to work both independently and collaboratively

Comfort using electronic medical record systems (experience with Zenoti is a plus)

Preferred Qualifications (Not Required)

  • Experience in a med spa, concierge medicine, wellness, or outpatient setting

  • Experience with GLP-1 medications or medication management

  • Familiarity with prior authorizations and prescription coordination

  • Phlebotomy experience

  • Customer service or hospitality experience

Schedule

  • Part-Time (25 hours/week)

    • Monday–Friday: 10:30 AM – 3:30 PM

Compensation

  • $40–55 per hour, based on experience
